Position Title Program Assistant for International Education/Learning Engagement
FLSA Non-Exempt
FT/PT Part Time
Hours Per Week 20
Work Schedule M-Th 11am - 4pm 10 months (mid August to mid June)
Position Salary Range $16/hr
General Responsibilities
Provides administrative support in the Office of International Education and assists with day-to-day operations of International Education including, but not limited to, responding to inquiries and requests, reserving space and AV equipment, placing supply orders, and tracking supply inventory. Operates Microsoft Office Suite and similar software products to perform publication design, word processing, and spreadsheets for International Education. Keeps online filing systems current and updated. Helps to promote and coordinate International Education programs and events. Assists with the development and maintenance of program and office handbooks, materials, directories, forms, and travel related paperwork. This position supports both the program coordinator and director of international education.
Work Performed
*Interacts with students/visitors to answer questions and provide information.
*Answers telephone inquiries and directs calls to appropriate destinations.
*Assists with the entry of new vendors, creation and monitoring of purchase requisitions and orders, and wire requests.
*Provides administrative support for office processes such as mail, filing, catering orders, event coordination, and student and faculty documents.
*Responsible for maintaining international partner and study abroad program provider contact lists.
*Supports Program Coordinator with study abroad management system through student assistance, data entry, queries, and reports.
*Assists Program Coordinator with program outreach, student recruitment, and all travel study abroad processes, including advising, applications, scholarships, orientations, and travel details.
*Maintains inventory of office materials and orders supplies when necessary.
*Checks and follows-up on all messages on the International Education email account and main office voice mail box daily.
*Assists with the entry of new vendors, creation and monitoring of purchase requisitions and orders, and wire requests.
*Provides administrative support for special International Education projects.
*Other duties as assigned.

Minimum Education Required

Other Knowledge Required
*Associates of Arts degree in education, sociology, business or related field and two years related experience or an equivalent combination of education and experience related to administration required.
*Exceptional organizational skills.
*Experience with Microsoft Office Suite and similar software applications
*Ability to use electronic mail and to operate within a network environment.
*Ability to communicate effectively, both verbally and in writing.
*Ability to prioritize and effectively work on concurrent projects and tasks.
*Ability to use own initiative to identify and deal with issues as they arise.
*Ability to maintain strict confidentiality.
*Regular attendance is a requirement of this job.
*Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
