Job Description Summary:ABOUT THE GROUP
The Audio Visual group supports approximately 2,648 in-person/hybrid meetings which include committee, staff and non-Academy meetings along with 216 webinars and 277 livestreams.

The daily duties of the group involve supporting both in-person hybrid meetings and virtual meetings. For in-person meetings, ensure that all av equipment functions properly, using platforms like Zoom, Teams, WebEx, or others. Assist and troubleshoot any av needs throughout the day in conference or collaboration rooms at the two Washington, DC locations. Additionally, supporting virtual meetings by live-streaming events using the Vimeo platform or managing Zoom webinars. During live streaming events, responsible for entering all necessary livestream network information into the video encoder to ensure a smooth operation and monitor and assist with any issues that arise.

ABOUT THE ROLE
In this combined team leader and individual contributor role, the selected individual directs, oversees and executes the overall strategy and planning of audio-visual (AV) technology for building projects, meetings, and high-profile events for the organization. Oversees the Meetings/AV unit, including staff and budget. Directs the planning and execution of Technical support for meetings, concerts, and high-profile events. Brings industry-level expertise to function, and recommends changes to remain up-to-date or competitive. Oversees full scope of AV installations, projects, meetings/events management, including writing RFP's, contract negotiations, marketing and training. Prepares activity and progress reports. Ensures long-term functional objectives are translated into shorter-term tasks, and establishes processes/procedures to ensure the effective and efficient operation of a somewhat complex function. Serves as a technical resource for institutional communication projects.The time break-out of duties will be 50% staff supervision and management of resources between various meetings, 25% playing an active role on the team contributing to the overall success.


Incumbent is responsible for planning, execution, staff oversight, and financial management of audiovisual technology. Has full supervisory responsibility for staff (e.g., hiring, training, and performance management) and is accountable for the performance and results of the team. Establishes processes and procedures to ensure the effective and efficient operation of function. Performs work requiring advanced technical knowledge, often involving multiple phases and significant collaboration, to innovatively solve a full range of complex problems. Brings industry-level expertise to function, and recommends changes to remain up-to-date or competitive. Work is both managerial and technical in nature.

Job Description:

ESSENTIAL JOB DUTIES:

  • Oversees all audio-visual (AV) operations, including meeting room AV technology, videoconferencing, and webcasts, ensuring that the operations are performing within specified operational guidelines. Develops and establishes internal departmental standards and procedures.

  • Oversees organizing, coordination, scheduling, and prioritizing scheduling of rooms, event set-ups, and daily tasks to ensure work is completed satisfactorily.

  • Manages and Supervises employees involved in AV technology throughout the organization. Determines staffing levels. Ensures AV support and services are effectively provided on a timely basis. Provides leadership and mentors employees. Trains and develops employees to successfully perform current responsibilities and encourages development of staff for future roles. Forms effective teams and cultivates a work environment that fosters teamwork. Interprets and ensures consistent application of organizational policies. Initiates personnel actions, including performance and compensation reviews and disciplinary actions.

  • Reviews and evaluates all work logs on a routine basis to ensure proper and timely recording of work activity; analyzes logs for trending of AV problems; prepares briefings. Reviews reports and statistical summaries of activities; delegates tasks to the appropriate personnel for problem resolution and repair.

  • Establishes, documents, and maintains AV and Meetings policies and procedures. Interprets and ensures consistent application of organizational policies. Evaluates and reports current technology in all buildings for life expectancy, repair and replacement.

  • Meets with other Academies Facilities AV staff to review, recommend and support AV Technology. Consults with programs and advises them of suggested upgrades to their equipment; ensures all facilities are compliant with AV industry standards for audio reinforcement, television and LED display systems.

  • Consults with the Conference Management/AV Staff, Information Technology Services (ITS), Office of the Chief Communications Officer (OCCO), Office of Human Resources (OHR), National Research Council Executive Officer (NRCEO), Office of News and Public Information (ONPI), Event Operations, and with Academies staff to resolve problems and assists in their areas of need. Forms effective teams and cultivates a work environment that fosters teamwork.

  • Participates in budget planning for AV and technology needs. Coordinates bid and selection process. Places orders and follows-up on transactions.

  • Coordinates vendor and contractor relations and manages contracted labor. Provides direction and information to visiting technicians regarding the building infrastructure. Provides technical information and direction to the Press for high-level events.

  • May have oversite for other information technology and telecommunication areas.

  • This is an onsite job with a requirement to work major events occurring on weekends, and evenings.

JOB SPECIFICATIONS

Required Knowledge, Skills, and Abilities: Advanced knowledge of A/V equipment, operation, maintenance in an auditorium or large production setting. Familiar with standard concepts, practices, and procedures within the fields of Audio Visual management. Working knowledge of Control Room lighting systems, digital signage, meetings database, sound systems, video replay systems, RF system, video systems and all related infrastructure. Working knowledge of AV Crestron, BiAMP, Barco, and Cisco Systems. Working knowledge of Windows/Apple operating systems, Windows Server, Microsoft Office Suite, Zoom, Adobe Suite Products. Ability to read blueprints and complex wiring schematics. Ability to trouble-shoot system level problems and determine and execute solutions. Ability to take the lead and initiate solutions regarding mission critical display signage, meetings display software, video webcasting, and press connectivity solutions. Ability to solve problems of appreciable variety and complexity. Ability to undertake tasks broad in nature, requiring ingenuity, and originality. Ability to serve as a resource to others in the resolution of complex problems and issues. Ability to operate independently, and exercise appreciable latitude for independent judgement, discretion, and action. Ability to train and develop staff. Ability to work successfully in a team environment and to form and maintain effective teams. Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication. Ability to communicate and interact with senior management, other departments, vendors and guests.

Minimum Education/Training Requirements: Bachelor's Degree in related field, or equivalent knowledge.

Minimum Experience: Eight years of related professional experience, three of which were in a supervisory capacity. Preferred experience in:

  • Audio DSP (BiAMP)

  • Video (Extron & Crestron)

  • Managing Live Events

  • Project Management with Audio Visual (AV) Systems

  • Management, Operation, Maintenance of AV Systems in Multiuse Facilities

Physical Capabilities: Ability to work at a computer and with AV equipment for an extended period of time.

Required Licenses, Certification or Registration: None. CTS and/or any other A/V Industry certifications desired.

Supervisory Responsibilities/Controls: Reports to Director. General direction provided. Supervises Audio Visual and Meetings staff.

Work Environment: This is an onsite job in our DC office, with occasional travel between National Academies' facilities and to off-site locations. Note there is a requirement to work events held on weekends and in the evenings.

Compensation: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $97,240 - $170,170. Compensation offered to the selected candidate will be based on the candidate's relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.
